Data protection
Due to new legal regulations and in order to ensure full transparency and security, Well Water for Life also publishes its privacy policy. This is because Well Water for Life is a recognized non-profit association and, as such, it is subject to the new data protection guidelines of the European Union.
Without the collection and management of personal data, we wouldn't be able to do our job to the fullest extent. There is also a documentation obligation for the use of donations received, their legality and responsible distribution.
First of all, we would like to give you our assurance that we handle the personal data transmitted to Well Water for Life very responsibly and want to avoid anything that could violate privacy or data security. Data protection is of great concern to us, so in this statement we want to inform you which of your data is collected by us, why we do this and what happens with this data or how we use it.
All personal data will be treated confidentially in accordance with the legally regulated data protection regulations. For more details, please refer to this privacy policy or also to the EU's General Data Protection Regulation (GDPR).1 This basic regulation was already passed in the European Parliament on the 14th of April 2016 and implemented new rules for the use and processing of personal data. For all member states of the EU, a standardization of the provisions was established, which regulated the rights and obligations when handling personal data.
Since the 25th of May 2018, these provisions have also been applicable in Austria, and have been implemented by the Data Protection Amendment Act and the Data Protection Deregulation Act.

In summary, for legal and organizational reasons, Well Water for Life stores the following data transmitted by you in its database: the name (including the given title), the postal address, the date of birth, the e-mail address, the telephone number, the transmitted account number and the preferred language in which a donor would like to communicate with us.
For what purpose do we use this data?
In accordance with the legal requirements, since the 1st of January 2018, your name and date of birth as well as the information about your total annual donation will be transmitted to the tax office (online).
As an association, we use your first and last name as well as your postal and e-mail address to send you informations such as new project reports and brochures (also as online edition).
In order to inform you of important events or to contact you about important occasions, we also use your telephone number, e-mail address or postal address.
On the project reports the name or also the preferred name of the donors transmitted by them will be published.
The data collected after your consent will be managed in accordance with the guidelines of the General Data Protection Regulation and used exclusively for the purposes described in this privacy policy. Of course, you have the right to revoke your consent to the use of your personal data at any time. This revocation can be made by telephone, e-mail or by post.
You have a right to complain, a right of information (see the point on data transmission) and a right to the deletion of personal data.
You also have the right for data transmission. This means that we will transfer your personal data that concerns you and that we have collected if you request us to do so. This right is only restricted if it should affect the rights of third parties.
What data could be collected beyond this basic declaration - when using certain offers and services - is explained below.
The new General Data Protection Regulation also affects the image processing sector. Well Water for Life has always recorded its activities through photos and videos. On the one hand, this is used to present projects and point out specific emergencies, and on the other hand, to give an account of the use of donations and to document our activities. But we also use extensive photographic material for reflection, for activity reports and brochures, or as a memory for the involved employees.
In the future, such recordings - and the associated sound recordings - will be subject to stricter regulations or even the concretization of previous regulations. Even in the past, it was necessary to obtain the consent of the persons concerned or, for example, to make persons who were accidentally included in a photo unrecognizable.
We will continue to make every effort not to violate the rights or dignity of the persons we record when processing images.
Well Water for Life saves your telephone number for organizational and record-keeping reasons if you give your consent. We don't record conversations and we delete your number as soon as the purpose for which it was recorded is no longer applicable or as soon as you withdraw your consent, unless there is a legal requirement to do so - for example, in the case of contacts that should be affected by commercial law.
But we have no influence on your telephone provider and no knowledge about what data they store and how they use it. We therefore refer to the data protection declarations of the respective providers.
Parts of the e-mail communication are also logged. On the one hand, this helps to detect malware and to ensure system security. However, it also helps in organizing, for our mailings and for information about activities and projects. The following data is stored during e-mail traffic: The e-mail and IP addresses of the sender and the recipient, the subject line, the number of recipients of a mail, the time (this includes both the date and the specified time when a mail was received), the size and scope of a message including the size and designation of those files that are classified as attachments, also the spam risk assessment and the delivery status. This logging and verification happens automatically and is only controlled personally in exceptional cases (for example, in case of suspicion of malware and a threat for system security or when a user requests it).
Your personal data transmitted to us via e-mail communication will be deleted after the purpose for which it was stored has ended, as long as there are no legal regulations against deletion. For example, commercial law requires that important data in connection with financing and donation activities is stored for several years in accordance with the legally prescribed retention and documentation obligations.
However, we have no influence on how other mail recipients and providers for e-mail services use your data. As in the case of telephone contacts, we also ask you in this case to inform yourself in the respective data protection declarations of your providers.
The data we collect will be deleted as soon as it is not needed anymore because the purpose for which it was collected has ceased to exist or we receive a revocation from your side. A precondition for the deletion, however, is that it doesn't violate any legal provision that could require us to retain the data.
Retention obligations for certain data, such as receipts, balance sheets and tax-relevant documents can be up to 6 years.
We store the following data after receiving your application: First name, last name, title, address and, if specified, e-mail address, telephone number, date of birth, your previous education, training and further education, your previous work experience and the information that you provide to us with your application, whether in your CV, letter of motivation, cover letter or in the transmitted certificates or other documents.
By sending us your application documents or sending them to us by e-mail, you agree with the processing of these data. You also agree to be contacted by Well Water for Life employees by telephone and/or e-mail. You must also agree that the information you provide - for example, about education and your work experience - is true, otherwise employment may be revoked.
If an application is unsuccessful and no employment is found, your documents will be deleted, which happens after a period of 6 months at the latest. However, with your consent, which you can revoke at any time, it is possible to keep your application on file for 2 years.
Your data will be processed and managed in accordance with the regulations of the DSGVO and will not be forwarded to third parties.
